Festival Policy

1. Purpose

The purpose of this Festival Policy is to establish comprehensive guidelines for the organization, participation, and attendance of festivals hosted, sponsored, or managed by Eventorian. This policy ensures a safe, inclusive, and enjoyable experience for all stakeholders, including attendees, vendors, performers, staff, and partners.


2. Scope

This policy applies to all festivals organized by Eventorian, including cultural festivals, music festivals, food festivals, and other large-scale public gatherings.


3. General Guidelines

Attendees

  • Entry to the festival may require tickets, registration, or proof of age, depending on the type of event.
  • Attendees must adhere to all festival rules and respect the rights of others.
  • Children under the age of 12 must be accompanied by an adult.

Vendors and Exhibitors

  • Vendors must apply for a designated space and obtain approval from Eventorian.
  • All food and beverage vendors must comply with local health and safety regulations.
  • Vendors are responsible for maintaining cleanliness and safety within their allocated spaces.

Performers

  • Performers must adhere to their agreed schedules and content guidelines as specified by Eventorian.
  • Eventorian reserves the right to approve or reject any performances that do not align with the festival’s theme or values.

Sponsors and Partners

  • Sponsorship agreements must comply with the terms outlined by Eventorian.
  • Sponsor branding and activities must be pre-approved by Eventorian to ensure alignment with the festival's objectives.

4. Ticketing and Entry

  • Tickets are non-transferable unless otherwise specified.
  • Refunds for cancellations or no-shows will follow the terms outlined in the ticket purchase agreement.
  • Entry to restricted areas is permitted only to authorized personnel and ticket holders with the appropriate access level.

5. Prohibited Items and Activities

To ensure the safety and enjoyment of all attendees, the following items and activities are prohibited:

  • Weapons, fireworks, or explosives of any kind.
  • Illegal substances or drug paraphernalia.
  • Outside food or beverages unless otherwise approved.
  • Disruptive behavior, including harassment, violence, or vandalism.
  • Unauthorized distribution of promotional materials or solicitation.

6. Health and Safety

  • Attendees, vendors, and staff must comply with all health and safety regulations, including emergency evacuation procedures.
  • First aid stations will be available on-site, and Eventorian will provide trained medical staff for emergencies.
  • Attendees are encouraged to report unsafe conditions or emergencies to Eventorian staff immediately.

7. Environmental Sustainability

Eventorian is committed to promoting sustainable practices during festivals:

  • Waste management systems, including recycling bins, will be provided.
  • Vendors are encouraged to use eco-friendly packaging and materials.
  • Single-use plastics are discouraged unless necessary.

8. Accessibility

Eventorian aims to make festivals accessible to all attendees:

  • Wheelchair-accessible pathways, restrooms, and viewing areas will be provided.
  • Assistive devices, such as hearing aids or interpreters, may be available upon request.
  • Attendees requiring special accommodations must notify Eventorian in advance.

9. Code of Conduct

All participants are expected to behave respectfully and responsibly. Violations may result in removal from the festival and, if necessary, legal action. The following behaviors are strictly prohibited:

  • Harassment, discrimination, or abuse of any kind.
  • Interference with festival operations or the enjoyment of others.
  • Unauthorized recording or photography of performers or other attendees.

10. Vendor and Exhibitor Obligations

  • Vendors are responsible for obtaining all required permits and licenses.
  • Exhibitors must ensure their installations are safe and do not obstruct pathways or exits.
  • All sales transactions are the sole responsibility of the vendor or exhibitor.

11. Performer Obligations

  • Performers must arrive on time for rehearsals and scheduled performances.
  • Performers must adhere to the agreed-upon content and performance duration.
  • Eventorian reserves the right to cancel performances that violate festival policies.

12. Security

  • Eventorian will provide security personnel to ensure a safe environment.
  • Bag checks and metal detectors may be used at entry points.
  • Attendees must cooperate with security staff at all times.

13. Intellectual Property and Media Rights

  • By attending the festival, attendees grant Eventorian the right to use their likeness in photos or videos for promotional purposes.
  • Unauthorized use of Eventorian's branding or festival materials is strictly prohibited.
  • Performers and vendors retain rights to their own intellectual property, but Eventorian reserves the right to promote their participation in the festival.

14. Insurance and Liability

  • Vendors and performers must carry appropriate insurance to cover potential risks.
  • Eventorian is not liable for lost, stolen, or damaged personal property.
  • Attendees participate at their own risk, and Eventorian is not responsible for injuries caused by attendee negligence.

15. Emergency Procedures

  • Eventorian staff will provide instructions during emergencies, including evacuations.
  • Emergency exits and assembly points will be clearly marked.
  • Medical emergencies should be reported to the nearest staff member or first aid station.

16. Amendments

Eventorian reserves the right to amend this policy at any time. Changes will be communicated to attendees, vendors, performers, and sponsors in a timely manner.
