Sponsor Policy

1. Purpose

This Sponsor Policy outlines the terms and conditions for sponsors (“Sponsors”) of events organized, hosted, or supported by Eventorian. By becoming a Sponsor, you agree to comply with this policy, which covers sponsorships that may include booth space, ticket allocation, and other benefits.

2. Compliance with Laws and Licenses

• Sponsors must ensure compliance with all applicable laws, regulations, and ordinances relevant to their participation in the event, including their products, services, promotions, and advertising.
• Sponsors are responsible for obtaining and maintaining all necessary licenses, permits, and certifications required for their offerings or operations.
• Eventorian reserves the right to request documentation of such licenses, permits, or certifications at any time. Sponsors are required to provide these promptly.
• Failure to comply with legal or regulatory requirements may result in cancellation of sponsorship benefits without refund.

3. Insurance Requirement

• Sponsors must obtain and maintain appropriate insurance coverage, including but not limited to:
  • General liability insurance
  • Product liability insurance (if applicable)
  • Event cancellation insurance (if deemed necessary)
• Proof of insurance must be provided to Eventorian upon request. Sponsors are solely responsible for ensuring their insurance coverage is adequate for their activities.

4. Sponsorship Benefits

• Sponsorship packages may include booth space, complimentary tickets, branding opportunities, or other benefits as specified in the sponsorship agreement.
• Eventorian retains the right to adjust or modify sponsorship benefits due to unforeseen circumstances or changes in event logistics.

5. Assumption of Risk and Liability

• By participating as a Sponsor, you acknowledge and accept all risks associated with your sponsorship activities, including but not limited to:
  • Property damage or theft
  • Liability from attendee interactions or use of your products and services
  • Changes to the event schedule, location, or attendance levels
• Eventorian is not responsible for any losses, injuries, or damages arising from sponsorship participation.

6. Waiver of Liability and No Right to Sue

• Sponsors voluntarily waive, release, and forever discharge Eventorian, its affiliates, employees, agents, contractors, and event partners from any and all claims, liabilities, actions, or demands arising out of or related to their sponsorship, including but not limited to:
  • Personal injury or property damage
  • Loss of revenue, sales, or promotional opportunities
  • Legal or regulatory actions resulting from non-compliance
• Sponsors explicitly waive the right to pursue any legal claims or lawsuits against Eventorian in connection with their sponsorship.

7. Sponsor Responsibilities

• Booth Operations:
  • If a booth is included in the sponsorship package, Sponsors must adhere to Eventorian’s Booth Policy, including setup, operations, and compliance requirements.
  • Booth areas must be safe, clean, and in full compliance with applicable laws and regulations.
• Ticket Usage:
  • Complimentary tickets provided as part of the sponsorship package must only be used for Sponsor representatives or approved guests. Resale or unauthorized distribution of tickets is prohibited.
• Promotion and Marketing:
  • Sponsors must ensure all promotional materials and activities are lawful, ethical, and appropriate for the event audience. Eventorian reserves the right to approve or disapprove Sponsor materials or messaging.

8. Indemnification

• Sponsors agree to indemnify and hold harmless Eventorian, its affiliates, employees, agents, contractors, and event partners from any claims, liabilities, damages, or expenses (including attorney fees) arising from:
  • Sponsorship activities or operations
  • Failure to comply with legal requirements
  • Injuries, damages, or losses caused by the Sponsor, its products, or its representatives

9. Cancellation and Termination

• Eventorian reserves the right to terminate the sponsorship agreement or revoke sponsorship benefits if the Sponsor violates this policy, engages in illegal or unethical activities, or disrupts the event.
• Sponsorship cancellations by the Sponsor may not be eligible for a refund unless otherwise stated in the sponsorship agreement.

10. Event Cancellation or Force Majeure

• Eventorian is not liable for any losses or damages incurred by Sponsors due to event cancellation, postponement, or modification caused by circumstances beyond Eventorian’s control, including but not limited to acts of God, government actions, pandemics, strikes, or natural disasters.

11. Media and Photography Release

• Sponsors grant Eventorian the right to use their logo, name, and other branding materials in event promotions.
• Sponsors consent to being photographed, filmed, or recorded at the event and agree that Eventorian may use such media for promotional or marketing purposes without additional compensation.

12. Amendments to Policy

• Eventorian reserves the right to update or modify this policy at any time without prior notice. Updates will be communicated via Eventorian’s official channels.

13. Governing Law

• This policy is governed by the laws of Ontario, Canada. Any disputes arising out of this policy or the sponsorship agreement will be resolved exclusively in the courts of Ontario, Canada.
